2. Acceptance of Terms
By accessing www.roboticwings.com, submitting an enquiry form, communicating with us by email or phone, or commissioning any service, you confirm that you have read, understood, and agree to be bound by these terms.
If you do not agree to any part of these terms, you should not use this website or our services.
3. Services
3.1 Scope
RoboticWings provides drone-based services including but not limited to: aerial photography and videography, aerial inspection, thermal imaging, land and property surveys, 3D mapping and modelling, orthomosaic mapping, LiDAR scanning, digital twins, construction monitoring, agriculture surveys, fire and safety inspection surveys, and event coverage.
3.2 Regulatory compliance
All operations are conducted in accordance with UK Civil Aviation Authority (CAA) regulations, the Air Navigation Order 2016 (as amended), and our GVC PDRA01 operational authorisation. We will not conduct any flight that we assess to be unsafe, illegal, or outside our operational permissions regardless of client instruction.
3.3 Weather and site conditions
Flight operations are subject to weather, airspace restrictions, and site conditions. We reserve the right to postpone or abort any flight where conditions are deemed unsafe. In such cases we will reschedule at no additional charge at the earliest mutually convenient time.
3.4 Client responsibilities
The client is responsible for:
- Ensuring they have the legal right to commission aerial operations over the proposed site
- Obtaining any necessary landowner, local authority, or third-party permissions
- Providing accurate and complete information about the site and any known hazards
- Ensuring that no unauthorised persons enter the operational safety area during flight
4. Quotes & Pricing
All quotes provided are valid for 14 days from the date of issue unless otherwise stated. Quotes are based on information provided at the time of enquiry and may be revised if the scope of work materially changes.
Prices do not include VAT unless explicitly stated. Any applicable VAT will be shown separately on invoices. Travel costs beyond a 30-mile radius of our base location may be quoted separately.
5. Bookings & Cancellation
5.1 Confirmation
A booking is confirmed only upon receipt of a signed order confirmation or written acceptance of our quote by both parties.
5.2 Cancellation by the client
- More than 7 days before the scheduled date: Full refund or no charge.
- 3–7 days before: 50% of the agreed fee is payable.
- Less than 72 hours before: 100% of the agreed fee is payable.
5.3 Cancellation by RoboticWings
If we are required to cancel for reasons within our control, we will offer a full refund or an alternative date. We are not liable for cancellations caused by adverse weather, airspace restrictions imposed by the CAA or NATS, or circumstances beyond our reasonable control (force majeure).
6. Liability
6.1 Limitation
Our total liability to any client in connection with any single project or event shall not exceed the total fee paid or payable for that project. We shall not be liable for any indirect, consequential, or economic loss including lost profits, lost revenue, or business interruption.
6.2 Insurance
RoboticWings holds appropriate public liability insurance for drone operations. Copies of our insurance certificate and operational authorisation can be provided upon request.
6.3 Deliverables
All imagery and data is captured using professional equipment in good faith. We do not guarantee specific aesthetic outcomes but will always endeavour to meet the agreed brief. In the event of equipment failure or data corruption, our liability is limited to a re-flight at no additional cost where reasonably practicable.
6.4 Website disclaimer
This website is provided for information purposes only. While we endeavour to keep content accurate and up to date, we make no warranties as to its completeness. We are not liable for any reliance placed on information published on this site.
7. Intellectual Property
All imagery, video, maps, models, reports, and data deliverables produced by RoboticWings remain the intellectual property of RoboticWings until full payment has been received, at which point a licence to use the deliverables for the agreed purpose is granted to the client.
Unless explicitly agreed in writing, RoboticWings retains the right to use anonymised or non-commercially sensitive deliverables for portfolio, marketing, and promotional purposes. If you require full exclusivity or wish to restrict our usage rights, please discuss this prior to booking.

8. Data We Collect
RoboticWings acts as a Data Controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We collect the following categories of personal data:
8.1 Data you provide directly
- Identity data: First name, last name
- Contact data: Email address, phone number
- Project data: Service type selected, project description, and any other information you include in your enquiry message
8.2 Data collected automatically
- Technical data: IP address, browser type, pages visited, and time of visit — collected via server logs and/or analytics if enabled
8.3 Data we do not collect
We do not collect payment card details directly (payments, if applicable, are processed via third-party providers). We do not collect special category data (health, ethnicity, religion, etc.).
9. How We Use Your Data
We use your personal data only for the following purposes and under the following lawful bases:
- Responding to enquiries — Lawful basis: Legitimate interests / Pre-contractual steps. We use your name, email, and enquiry details to reply to you and provide a quote.
- Fulfilling a contract — Lawful basis: Performance of contract. Once booked, we use your contact and project data to plan and execute the service.
- Sending follow-up communications — Lawful basis: Legitimate interests. We may follow up on an open enquiry if we have not heard back. We will not send unsolicited marketing without your consent.
- Legal and regulatory compliance — Lawful basis: Legal obligation. We may retain records as required by law (e.g. tax, CAA operational records).
- Improving our services — Lawful basis: Legitimate interests. Aggregated, anonymised usage data helps us understand how the website is used.
We will never sell, rent, or trade your personal data to third parties for marketing purposes.
10. Data Retention
We retain your personal data only for as long as necessary for the purpose it was collected:
- Enquiries that do not convert to a booking: Deleted or anonymised after 12 months from last contact.
- Completed client records: Retained for 6 years from project completion for legal and tax compliance, then securely deleted.
- Operational flight records: Retained as required by CAA regulations (minimum 3 years).
- Email correspondence: Retained for a maximum of 6 years then deleted unless an ongoing relationship exists.
